Be the welcoming face of Prairie while playing a vital role in keeping daily operations and communications running smoothly. In this dynamic position, you’ll greet and assist visitors, manage incoming calls and deliveries, and help coordinate calendars and front office flow. At the same time, you’ll support advancement efforts by assisting with parent communications, maintaining website content, and contributing to school-wide messaging and projects.

This role is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in staying organized while juggling multiple responsibilities. You’ll collaborate across departments, take initiative on projects, and help create a warm, professional, and well-coordinated experience for the entire Prairie community.

JOB TITLE: Guest Relations/Advancement Support
DEPARTMENT: Advancement
REPORTS TO: Chief HR Officer
FULL-TIME: 10:00 am - 5:30 pm (Monday-Friday) 

DUTIES AND RESPONSIBILITIES: GUEST RELATIONS

  • Serve as the “face of Prairie”, welcoming guests, issuing name badges, announcing visitors to appropriate personnel, and directing them accordingly
  • Answer the multi-line phone system and distribute calls appropriately
  • Handle Master and Website calendars
  • Sort/distribute incoming mail/packages
  • Handle all incoming/outgoing UPS/FedEx/USPS packages
  • Support the Business/HR office as needed

SKILLS NEEDED:

  • Excellent interpersonal skills
  • Possess knowledge of the USPS mailing standards
  • Knowledge of Word, Excel, and FileMaker programs
  • Excellent and articulate people skills

DUTIES AND RESPONSIBILITIES: ADVANCEMENT SUPPORT

  • Serve as the primary contact for all school-issued parent communication, and create distribution lists out of PowerSchool as necessary
  • Produce, maintain, and update the ‘Welcome to Prairie’ slideshow that plays at the entrance
  • Assist in maintaining the school website
  • Additional writing, editing, and design projects as necessary

QUALIFICATIONS: 

 A Bachelor’s Degree is required, preferably in Communication or a similar discipline. School experience is a plus, but not mandatory.
